Due to discussions earlier this week it has been decided to set out some form of policy for photos we would like on the site.

I originally set up this forum so that myself and other could host the photograph that we had personally taken. That is still the overriding intention. This forum should be first and foremost the place to host your OWN photographs. It should be a secondary thought to put other peoples photographs on this forum.

If you have the permission of a third party to upload their photographs to this forum, then fair enough.

Hosting our own photos in the main should help us to avoid the situation whereby we have requested a photograph from a company or institution and they ask us for a fee. I cannot state this strongly enough: I as Administrator do not intend to pay any kind of fee for any photograph.

If a member of this forum wishes to pay for a photograph then it is entirely up to them and I take no responsibility for it.

A final point which I have been slightly uncomfortable with: please don’t send any e-mails on behalf of the forum. By all means mention that you’d like to post any photos here and then let the schools / churches / clubs etc.decide whether they’d like to send photos. I am not against people approaching clubs or organisations, but please be clear that it is your own responsibility and I have not and will not authorise anyone on this forum doing so.

No-one here works for this forum. The only person running this forum is myself, with the assistance of the moderators. If anyone asks you in the course of taking photos, you contribute to the forum, but you don't help run it.

I hope everyone finds these guidelines acceptable. I would appreciate everyone trying to stick to them wherever possible.

I completely agree with all your points. If there is any particular photo required surely the member nearest to the location can be asked to take one. I know I would be willing.

Schools are very unwilling to allow strangers going into schools never mind taking a camera in.

I can see where David is coming from.

I am now left wondering if I have to stop posting any replies I get from schools with picture in them as there are about 40 emails out there before this rulling.. Please confirm what I have to do should I get any photos through also do I stop emailing educational places or do I carry on but with a different worded email.

Not at all. If you get replies then post them. But I'd prefer you not to send emails "on behalf" of the forum. You can tell them that you intend to post them here, but you do it as an individual and not as someone employed or authorised by this forum.

You can email institutions if you want to Kevin, but you do it for yourself. If you choose to post the pictures you receive on this forum that is entirely your decision.

Bottom line: I would prefer it if someone visited a school and took pictures themselves. Failing that, if you want to contact them and ask them, it's your decision to do so and I have no say in the matter. It's not the policy of this forum to contact other parties and ask them to submit photographs.

If you e-mail a school you could say something along the lines of you are collecting photos of war memorials and if it is alright with the school you would like to post them on a public forum.
If you provide a link to here the school can then decide whether to forward anything on to you or not, it’s up to them. They may even decide to post photos themselves!

Schools posting photos themselves would be a great way to go. I'd really like to see that happen, particularly if it led to a new generation of interest in the memorials.

I mean, I must have walked past the memorial in my school dozens of times and never gave it a second glance. I hope that the pupils of today would perhaps give it a look and think about the men behind the names.

I approached 2 local schools in person (walked in without prior appointment) and got a guarded reception from the office staff. I pointed out that I wished to take photos under their direct supervision (to ensure that no pupils were accidentally photographed). They each passed the request to someone senior who gave me a warm reception, allowed me to take photos and gave me great info. The camera stayed in a sealed bag until it was clear that access had been granted. A pre-printed slip with my personal details and the words 'photographs will be submitted for publication at http://warmemscot.s4.bizhat.com' was handed over. This approach at a third school was not so succesful but at least was not turned down flat - I will call back.
This strategy seems to work for me at least.

I think that would be a great idea - community interest in our memorials of whatever nature (schools, WRI, local history classes etc) is to be actively encouraged.

I would have thought the schools memorials will start to come in at a steady rate once this site starts appearing on search engines etc. In which case wouldn't it be better to leave it to the schools themselves? I'm sure teachers would find it a usefull wee history/I.T. project to have a group of pupils post photos and info on their school memorial onto this site. I have no doubts that the site [url]will[/url] become more widely known within the next twelve months.

This is something we are aware of and occurs when the poster moves or deletes the original photo from photobucket (or wherever) or if the poster fails to log into their photobucket account within a specified time (I think one year) in which case their account is first locked and then deleted.

We are considering ways to avoid this happening but in the meantime, I suggest posting a short comment on the relevant 'memorials discussion' thread to make others aware that new photos of the memorial are needed.
