Transcribing civic memorials.

There are currently 1216 civic memorials on the forum out of 1374 memorials in total so there are not that many left to record. There are however hundreds still to transcribe!

A few of the forum members have been transcribing the civic memorials on MS-Excel to a standard format. We’ve so far transcribed and collated over 400 memorials giving us nearly 30,000 names. (We’ve also got another 3,500 names from other memorials but we’re concentrating on civic memorials first)

Ideally we’d like to transcribe all the names on the memorials on the forum in the same format so we can easily search for names.

So far it’s mainly been Jim McGinlay, Anne Anderson, David McNay and myself who have provided the 30,000 names. I also have 11,000 + names from Anne Park to format and add.

We cannot transcribe them all on our own so we are looking for volunteers to help with some tasks.

1. Identify any memorials on the forum which do not have photographs of the name panels so they can be photographed. See thread started here
2. Identify civic memorials without names on them where there are names listed on rolls of honour elsewhere. See thread started here
3. Transcribe the names on all the civic memorials on the forum to a standard template.

For recording the transcription we have come up with 10 columns on an MS-Excel spreadsheet which covers most of the information provided on civic memorials.

Surname (in capitals), Name / Initial, Rank, Unit, Bn, War, Year Died, Number, War Memorial, Notes

Sometimes only a surname and initial may be provided in which case only those two columns and the war memorial column need to be filled in.

Sometimes extra information is provided such as a home address in a rural parish or a place of death and these can be added in the Notes column.

At this stage we are not looking for extra information, only what’s on the memorial so if it’s not inscribed on a memorial it doesn’t need to be found in the CWGC or SNWM databases.

If you are interested in helping please check to see if the memorial(s) you would like to transcribe is on the list I am going to post next. If it is we’ve got it already and you may wish to consider transcribing another memorial.

If it’s not on the list please let me know in this thread or send me a PM that you are going to start transcribing. That way I can track who is doing what so we don’t end up with a duplication of effort.

I can also send you an e-mail with some examples of transcribed memorials to show you what we are doing if the instructions above aren’t clear.

That's excellent Derek. Note we've already got quite a lot of Borders ones (especially Berwickshire) and a few D&G so be careful which ones you pick to make sure it's not been done by someone else.

Adam,

I'm not quite sure what you mean by a 'transcribed memorial' other than the details are on an Excel spreadsheet rather than in another format.

The memorials in Moray have, as far as I am aware, had the details of those commemorated photographed and the details on the panel posted in the thread. (There are probably some that have slipped through the net.) Am I missing something?

Furthermore, what is the definitive document regarding the 'extra' information wanted for your spreadsheet? CWGC, Roll of Honour or simply what is annotated on the memorial? Those documents do not always tally!

I am happy to provide whatever information, in whatever format, is required.

Good questions.

My use of ‘transcribed’ relates to an excel spreadsheet I am collating, which the other members of the forum mentioned above have contributed to.

It may be that a memorial posted on the forum has the inscription and names in text in a post within that thread. That is a transcription but it’s not in the same format as the ones in the list and they have not been added to the list.

You may have noticed some threads in the forum have a (T) after them which means there is a transcription. (T*) was introduced for memorials which have been transcribed and are on the list.

That was started last year but unfortunately time wasn’t on our side and it’s only now that we are starting to make an effort again for transcriptions.

Just to confuse matters it may be that a memorial on the list doesn’t have a transcription on the forum!

For the second point what we are wanting is what is on the memorial. If the memorial contains information which isn’t covered by the columns it can be put in the extra column. We are not looking for full entry such as CWGC or Roll of Honour, only simple things like a place of residence or theatre of death, or medal awards such as MM or DCM. If there is a known discrepancy between memorial and CWGC for example we will take the memorial version for now.

In the future we may be able to develop the spreadsheet into something more useful but right now it’s purely a record of names on memorials.

I hope this answers your questions, if not let me know.

Do I need a blank excel sheet from you or could I make up my own with the 10 column headings you've suggested?
Also, you state that at this stage you are not looking for extra information on the names BUT if I have it already, do I add it straight away? I would assume YES but will wait to hear a definitive answer.

For the Scottish Borders I will do:

I'll be covering the Lanarkshire memorials. After that I'll cover what no-one else wants.

Oh, and Derek, to answer your question: any extra information, leave it OUT of the initial transcriptions. At the moment all we want is the information on the memorial itself. Any extra information we can add later. This is just a straight transcription of the information.

So if you have it, don't add it straight away.

David has answered one point about extra info. The other one, yes just use your own spreadsheet with those 10 headings, as long as they are in the same order I can just add them to the master sheet (even if they aren't in the right order it's easy enough for me to swap them over) .

You can e-mail me your lists to adambrownedinburgh(at)hotmail.com or if you (or anyone else) want to post the info on the forum for me to pick up here then here's how to do it...

1. Add an extra blank column between the 10 columns you already have on your spreadsheet so you have 19 columns (up to letter s)
2. In the top cell of column B put in the character #
3. Drag that cell down the whole length of that column.
4. Copy and paste that column of #'s into the other eight blank columns (D, F, H, J, L, N, P, R)

You now have all nineteen columns filled with the information I need.

5. Highlight all the data by clicking in the bottom right hand cell of your spreadsheet (column S) and dragging it all the way up to cell A1.
6. Copy the highlighted cells using the drop down menu or by right clicking your mouse.
7. Paste it into a post on the forum.

You should see something like this

Surname # Name / Initial # Rank # Unit # Bn # War # Year Died # Number # War Memorial # Notes
ANDERSON # David # Lance Corporal # Gordon Highlanders # # WW1 # # # Alloway #

It doesn't look pretty but by using the 'Text to Columns' function in excel I can then turn your post into a spreadsheet.

NOTE: If you are posting a lot of names check your post once it's been accepted in case some of the names have not been saved. I think one post takes about 750 odd lines.

With the exception of Hamilton, which I need to get close-up photos of, I have now completed the civic memorials in Lanarkshire.

I'm now going to work my way through some of the Renfrewshire memorials, starting with Barrhead.

IMPORTANT POINT FOR ALL TRANSCRIBERS

I appreciate that this should have been mentioned at the outset of this topic, but I'll bring it up now.

It is the intention of a few of the members of this forum to take a table at the annual conference of the Scottish Association of Family History Societies in Aberdeen next year. We will be using this table to publicise the work we have done, both on this forum and the Scottish War Graves Project.

It is our intention to have some items for sale in order to cover the costs of this table and other sundry expenses.

We intend to make available a CD of the transcriptions of war memorials. This will be sold at the conference, and will then be made available to anyone who wishes to purchase a copy. Members of this forum will be able to obtain the CD at a heavily discounted rate.

Any individual who has worked on transcriptions in any way will of course receive a free copy of the CD, and will be given full credit for their work .

We're telling you this now in case you start transcribing and are not in favour of the data you have compiled being used in this manner. If this is the case, please let either Adam or myself know and we will arrange for someone else to do the transcribing.
